Data we process on behalf of clients

Where we manage hosting, security, or performance services for a client’s website, we may have access to personal data submitted by that client’s own visitors, for example, through contact forms or analytics. In this context, our client is the data controller and Clickroom acts as a data processor, handling that data only as instructed by the client and only for the purpose of delivering the agreed services. A separate data processing agreement may be put in place with individual clients where appropriate, this policy doesn’t replace that.

How long we keep data

  • Enquiry details from businesses that don’t go on to become clients are kept for up to 12 months, then deleted
  • Client project files and working copies are kept for 30 days after an engagement ends, then deleted, as set out in our Cancellation & Off-boarding Policy
  • Signed agreements and invoices are retained for at least 6 years, in line with UK accounting and tax record-keeping requirements
  • Marketing contact details are kept until you unsubscribe or ask us to remove them

Your rights

Under UK data protection law, you have the right to:

  • Ask what personal data we hold about you, and get a copy of it
  • Ask us to correct inaccurate data
  • Ask us to delete your data, where there’s no legal reason for us to keep it
  • Object to or restrict certain kinds of processing, including marketing
  • Ask for your data in a portable format, where technically feasible
  • Withdraw consent at any time, where we’re relying on consent

Keeping data secure

We use reasonable technical and organisational measures to protect personal data against unauthorised access, loss, or misuse, including restricted access to client systems, and revoking access promptly when an engagement ends, as set out in our Cancellation & Off-boarding Policy.

Children

Our services are aimed at businesses, not individual consumers or children. We don’t knowingly collect personal data from children.

We may update this policy from time to time. The most recent version will always be available on our website, with the date it was last updated.
